Facilities & Equipment Use
Shared meeting space is limited and demand is high, which necessitates placing some limitations on group size, the duration and frequency of meetings, and how many meeting rooms can be reserved for a single time period by one department or individual. In general, the following limitations can be applied to reservations:
- Group size should not exceed room capacities according to fire and safety regulations.
- Duration and frequency of meetings should not dominate conference room space, regardless of how early reservations are made.
- Select a room that is appropriate for the size of your group rather than for its location.
Staff need to make sure to schedule all necessary set-up and breakdown time for meetings. Due to the limited space, meetings are often scheduled "back-to-back" and unless planned for, staff may not have the time needed to set-up or clean up after meetings.
All individuals using shared meeting rooms are expected to clean up after themselves. Common courtesy would include restoring tables and chairs to standard room setup, erasing white boards, picking up food items and trash, and generally leaving the rooms in an orderly condition. Also, please turn off projector and room lights at the end of your event.
Food is permitted in the meeting rooms. Please clean up all food immediately after your meeting. Contact Production at x. 4050 for questions about coffee machines and coffee and tea related supplies.
If a meeting includes service(s) from outside vendors who will be on-site at Fielding property(s), please clear use of the vendor with the Director, Facilities & Risk Management at x. 2918, a week or more in advance.
We cannot guarantee that white board supplies (dry-erase markers, erasers) will be available. Bring your own supplies to be certain you have them when needed.
Please responsibly remove reservations, and or inform support staff, if a meeting is cancelled and/or is no longer relevant.
Reservations
The following conference and media rooms are available for administrators and faculty to reserve. Reservations are forfeited if the scheduled group fails to arrive 15 minutes after their scheduled time. Please see the description for information on how to reserve each area.
If you find that your reservation conflicts with another's, please contact them to work out an amicable solution.
- 2024 De la Vina Street large conference room - This room features large whiteboards, two large conference tables and regular seating up to 20. This room is reserved via the “A Reservable Resources” Public Folder in Outlook. Simply use the Outlook New Appointment features to select your date and time, a name for the meeting and a contact person with their extension or contact number. For re-occurring appointments, please check at least 3 months out to make sure there are no conflicts. This room seats up to 50 in various configurations. Contact the Maintenance Supervisor at x2936 for configuration needs; requests in advance via email are preferred.
- 2024 De la Vina Street small meeting room - This room features a whiteboard and a table and chairs seating up to 10. This room is reserved via the “A Reservable Resources” Public Folder in Outlook. Simply use the Outlook New Appointment features to select your date and time, a name for the meeting and a contact person with their extension or contact number. For re-occurring appointments, please check at least 3 months out to make sure there are no conflicts.
- 2020 De la Vina Information & Communication Technology lab - This room is equipped with 12 laptops, a printer, an LCD projector and screen and a large whiteboard that can all be used for training purposes. It seats up to 14 in its normal configuration but this can be adjusted. Please email support@fielding.edu for more information or if your meeting has configuration or special equipment needs. To reserve, simply use the Outlook New Appointment features to select your date and time, a name for the meeting and a contact person with their extension or contact number. For re-occurring appointments, please check at least 3 months out to make sure there are no conflicts.
- 2020 De la Vina Human Resources meeting room - This room features whiteboards, a laptop and large-screen monitor, and a table and chairs seating up to 8. To reserve this room, please contact Human Resources at x. 4067.
- 2020 De la Vina Media Center - This equipment consists of computer, software, monitors, and other equipment necessary for good quality video capture, edit, and production. Please send request for more information or to use to support@fielding.edu
- 2112 Santa Barbara Street conference room - This room is reserved via the “A Reservable Resources” Public Folder in Outlook. Simply use the Outlook New Appointment features to select your date and time, a name for the meeting and a contact person. For re-occurring appointments, please check at least 3 months out to make sure there are no conflicts. This room seats up to 35 in various configurations. Contact the Maintenance Supervisor at x. 2936 for configuration needs; requests in advance via email are preferred.
- 2112 Santa Barbara Street Garden - Use of the garden will be limited, and must be approved by the Director, Facilities & Risk Management via email request two weeks in advance. Please be aware that building and garden use is restricted by a Conditional Use Permit issued by the City of Santa Barbara. The following are examples of events/activities considered appropriate for scheduling within the designated areas of this facility:
- -Celebrations for Institutional Milestones
- -Special University Dedications
- -Staff Recognition Events
- -University Program(s) internal events/us
Fielding has 5 video projectors which can be checked out for use.

Key Policy
Human Resources provides Fielding employees keys to the building (s) and office (s) in which they work, or to which they will need frequent access. The number of keys assigned to storage areas for a particular department/work unit is limited, and employees in the same unit are expected to share.
Keys are assigned at the beginning of employment and are returned at termination. Lost keys should be reported immediately, and keys that are no longer needed because of a move in location are to be turned in to Human Resources.
Master keys will be distributed sparingly, and only to those employees with high levels of responsibility and access needs.
